Capacity is only as good as the data behind it. Team Management is where you tell Ekko who is actually on your team, who has reduced hours, and what dates count as holidays.
Two things live in this section: per-project Team rosters with per-person capacity/tax overrides, and an org-wide Holidays list.
Project teams
A team in Ekko is a list of accounts attached to one Jira project. Teams power two things in Sprint Planning:
- The Team-only filter in the Sprint Capacity Summary — hides anyone not on the team.
- Per-person capacity and tax overrides — let you say "Sam works 6 h/day" or "Priya has 4 hours of tax per week because she is on-call".
Adding members
- Open Team Management from the side nav.
- Pick the project from the dropdown.
- Click + Add member. Search Jira users in the project; tap one to add. Bulk add to grab a handful at once.
Editing a member
Click a member's row to expand. You can override:
- Capacity (hours or points/day)
- For part-timers, contractors, or anyone who deviates from the team default.
- Tax (hours or points/week)
- For people with extra overhead — on-call, mentoring, management duties.
Holidays
Holidays are org-wide — one list applies to every team in your site. When a holiday lands inside a sprint, Ekko subtracts that day from total possible capacity for every team member, so capacity automatically drops on short weeks.
Adding a holiday
- Team Management → scroll to the Holidays section.
- Click + Add Holiday. Pick a date, give it a name (e.g. "Memorial Day", "Company All-Hands").
- Save. Capacity updates immediately for any sprint that overlaps that date.
Time off (PTO)
Unlike holidays, PTO is per person and added on the fly. The easiest place to add or edit someone's PTO is from Sprint Planning — click "Edit time off" on their card in the capacity summary.
- Date range (start + end, inclusive).
- Type (PTO, sick, jury duty, etc. — free text).
- Units per day — 1.0 for a full day, 0.5 for a half day, 0.25 for an hour or two.
- Optional description for context.
PTO is subtracted from capacity for any sprint that overlaps the date range, scaled by units-per-day.
Tax (overhead)
A reminder from onboarding: tax is non-project overhead (meetings, admin, on-call). Set the default in Settings; override per-person in Team Management; or edit one person's tax inline from Sprint Planning.
Tax is in hours per week (or points per week in story-points mode). Ekko multiplies it by the number of weeks in the sprint to subtract from capacity.
